Reminders
How Zolensa reminds participants when a task opens, and how you and they can control it.
Zolensa can remind participants when a new task opens for them. This article explains when reminders go out, how they reach people, and how to change the settings.
Turn reminders on or off for a study
- Open the study and click Edit study details.
- In the Timing section, tick or untick Remind participants when a task opens.
- Set the Daily reminder time, for example 09:00.
- Check the Study time zone.
- Save your changes.
The study's Overview shows the current setting under Reminders.
When a reminder goes out
Zolensa checks for reminders every few minutes. A participant gets a reminder when all of this is true:
- They have joined the study, so their status is Consented or Active.
- A task is open for them and they have not sent it yet.
- The task stays open for at least another 15 minutes.
- It is after the daily reminder time in their local time.
- It is not between 22:00 and 07:00 in their local time.
If several tasks are waiting at the same moment, they get one message that lists them all.
Each task is reminded at most once a day. If a task stays open over several days and they still have not sent it, they can get another reminder the next day.
Reminders only follow the participant's own schedule. Tasks for other groups do not trigger a reminder.
Local time
Reminders use the participant's own time zone. Zolensa takes it from their phone when they sign the consent form. If that is not available, it uses the study time zone.
How reminders reach people
- If the participant has an email address, the reminder goes by email.
- If they have only a mobile number, and text messages are set up on the platform, it goes as a text message.
- Otherwise no reminder is sent. They see new tasks when they open the study app.
The email names the task and, for a single task, says until when it is open. It has an Open the study app button. This button signs them in and works for two weeks. The email also tells them how to stop reminders.
Which studies send reminders
Reminders go out in live studies. In draft and paused studies, only test participants get them. Closed studies send no reminders. See Test participants.
Participants who have left the study get no more reminders.
Participants can switch them off
Each participant can turn reminders off for themselves:
- In the study app, they open Help and privacy.
- Under Reminders, they tap Turn reminders off.
They can turn them back on in the same place with Turn reminders on. See Participant settings.
Tip: If someone is not getting reminders, check that they have an email address, that the study is live, and that reminders are on for the study.
