Send emails from your own email provider

By default, Zolensa sends your emails from its own sender, with your workspace name as the sender name. You can send them from your own address instead, such as research@youragency.com, through your own email provider. You need to be an owner to change this.

This covers the emails Zolensa sends for your workspace: participant invitations, reminders, message emails and team invitations.

Before you start

• Have an account with one of these providers: Postmark, SendGrid, Mailgun, Amazon SES, Brevo, SparkPost, Resend, or any SMTP server.
• Verify your sender address or its domain with your provider. Otherwise the provider refuses to send.
• Have your API key or SMTP details ready.

Switch to your own provider

1. In the sidebar, click Settings, then the Email tab.
2. Under Send with, choose Our own email provider.
3. Under Your provider, choose your Provider and fill in its fields.
4. Under Sender, fill in the From address and the Sender name.
5. Click Save and send a test.

Zolensa saves your details and sends a test email to you through your provider. Your provider is switched on only if the test works. Then you see a message saying where the test went and that invitations now go out from your address.

If the test fails, your details are saved but not switched on. The message shows the provider's error. Emails keep going out from Zolensa's sender until a test works.

The fields for each provider

• Postmark: Server API token, and an optional message stream.
• SendGrid: API key and Data region (Global or EU).
• Mailgun: API key, the sending domain, and Region (US or EU).
• Amazon SES: Access key ID, Secret access key and the AWS region.
• Brevo, Resend: API key.
• SparkPost: API key and Region (US or EU).
• SMTP server: Server, Port, Encryption, Username and Password.

For SMTP, choose STARTTLS (port 587), SSL/TLS (port 465) or None. The server must be on the public internet and use port 587, 465, 2525 or 25.

Saved keys are shown as their first and last characters. Leave a key as it is to keep it, or type over it to replace it.

Check what is in use

The In use now box shows your provider and sender, or Zolensa's sender. Click Send me a test email to send a test to yourself the way emails go out right now.

You can send up to 10 test emails an hour.

Recent emails

At the bottom of the page, Recent emails lists the last 25 emails sent for your workspace. Each one shows Waiting, Sending, Sent or Failed, with the error if there is one. Failed emails are tried again up to 5 times.

Switch back to Zolensa's sender

1. Under Send with, choose Zolensa's sender.
2. Click Save.

Your provider details are kept, so you can switch back later.
