Invitations and personal links

Send invitations, resend them, and give participants a new personal link when they need one.

Each participant joins with a personal link that Zolensa sends in an invitation email. This article explains how to send invitations, what participants see when they open the link, and how to give someone a new link.

Before you can invite

  • The consent form must be published. See Consent form.
  • The study must not be closed.
  • While the study is in draft or paused, you can only invite test participants. See Test participants.

If something is missing, a note at the top of the Participants tab tells you what to do.

Send invitations

To invite everyone who has not been invited yet:

  1. Go to the Participants tab.
  2. In the box that says how many participants have not been invited yet, click Invite all.

To invite some people only:

  1. Tick the participants in the list.
  2. In With the ticked participants..., choose Send or resend the invitation.
  3. Click Apply.

You can also invite one person from their page: click their code, then click Send invitation. Or tick Send the invitation email now when you add them.

Each invitation goes by email, in the participant's language, with a Join the study button. Participants without an email address are skipped. Invitations by text message are not available yet.

Check that it arrived

The Invitation column in the list shows Not sent, Sending, Sent with the date, or Could not be delivered. Hover over Could not be delivered to see the reason. If you sent it more than once, you see how many times.

On a participant's page, the Emails list shows every email sent to them, with its status and any error.

Resend an invitation

For someone who is invited but has not joined, use Send again on their page, or Send or resend the invitation in the list. Each new invitation has a new personal link. The old link stops working.

What participants see first

When a participant opens their link, Zolensa signs in that phone and shows the consent form in their language. If the study has several languages, they can switch language at the top.

They tick the required boxes, type their full name to sign, and tap I agree, start the study. Or they tap I do not want to take part. After they sign, they see their tasks.

The phone stays signed in, so they do not need the link again on that phone. See Taking part.

If a participant who has joined changes phone or loses the email:

  1. Click their code in the Participants tab.
  2. Under Invitation, click Send a new personal link.

They get a new email with a new link. The old link stops working.

Reminder emails and new message emails have their own sign-in button. These links work for two weeks, and only while the participant is still taking part and the study is not closed. See Reminders.

A participant who opens an old link sees "This link does not work". This happens after you send a newer invitation or link, after they leave the study, or after the study closes.
