Participant statuses
What each participant status means, what changes it, and what you can do with ticked participants.
Every participant has a status that shows how far they are in the study. This article explains each status, what moves people from one to the next, and the actions you can take on several participants at once.
The statuses
- Not invited: added to the study, but no invitation sent yet.
- Invited: the invitation email has been sent. They have not signed the consent form yet.
- Consented: they opened their link and signed the consent form, but have not sent a task yet.
- Active: they have sent at least one task.
- Withdrawn: they said they do not want to take part, or they stopped taking part.
What changes a status
- Not invited to Invited: you send the invitation. This works from the list, from the participant's page, or when you add them. See Invitations and personal links.
- Invited to Consented: the participant signs the consent form in the study app.
- Consented to Active: the participant sends their first task.
- Invited to Withdrawn: the participant taps I do not want to take part on the consent form.
- Consented or Active to Withdrawn: the participant taps Stop taking part in the study app. See When a participant stops or asks for deletion.
Statuses only move forward. You cannot set a status by hand, and a withdrawn participant cannot be invited again.
See participants by status
At the top of the Participants tab, the status tabs show how many people have each status. Click a tab to see only those participants. Click All to see everyone. A status only has a tab when someone has it.
Act on ticked participants
You can work on several participants at once:
- Tick the participants in the list. The box in the header ticks everyone on the page.
- Open With the ticked participants... and choose an action.
- Click Apply.
The actions are:
- Send or resend the invitation: sends a new invitation to ticked participants who are Not invited or Invited. Anyone who has already joined, or has no email address, is skipped, and the message tells you how many.
- Move to a group: choose a group, or No group, from the list that appears. This option shows when the study has groups.
- Remove (only if not joined yet): takes Not invited and Invited participants out of the study. Their link stops working, and any invitation still waiting to go out is cancelled. This cannot be undone. Participants who have joined are kept.
To delete someone who is Consented, Active or Withdrawn, open their page and use Delete P004 and their data, with their code, at the bottom. This deletes them and everything they shared for good. See When a participant stops or asks for deletion.
Send or resend the invitation is not offered while invitations are blocked, for example before the consent form is published or after the study is closed.
Note: The list shows 50 participants per page, and ticking works on the page you see. To invite everyone who is Not invited in one go, use Invite all instead.
Who can do this
Owners and researchers can invite, move, remove and delete participants. Moderators can see the list and the statuses, but cannot change them.
