Import participants from a spreadsheet

Upload a CSV file from your recruiter or panel to add many participants at once.

If your recruiter or panel gives you a list, you can add everyone in one go. Save the list as a CSV file and upload it on the Participants tab.

Import a file

  1. Open the study and go to the Participants tab.
  2. Click Import spreadsheet. The Import a spreadsheet section is at the bottom of the page.
  3. Click Download the template (CSV) and open it in your spreadsheet program.
  4. Replace the example row with your participants, one per row.
  5. Save the file as CSV.
  6. Click the file field, choose your file and click Import.

When it works, you see how many participants were imported. The list then shows the Not invited participants, so you can check them before you invite them.

The columns

The first row must hold the column names. The template has these:

  • first_name: optional
  • last_name: optional
  • email: the address the invitation goes to
  • phone: mobile number with its country code, for example +44 7700 900123
  • language: a language code such as en or de. It must be one of the study's languages. Leave it empty to use the study's main language.
  • group: the name of a group on the study, written as it is there. Leave it empty for no group.
  • external_id: your own reference, for example a panel ID

The order of the columns does not matter. Some other names work too: firstname, lastname, e-mail, mobile, external_ref and reference. Capitals, spaces and hyphens in the names are fine. Columns with other names are ignored.

Your file must have an email column or a phone column, and every row needs an email address or a mobile number.

Tip: The template's example row uses the name Anna Example. Delete it before you import.

Accepted files

  • CSV files only. Commas and semicolons both work as separators.
  • Up to 2 MB and up to 2,000 participants per file. Split bigger lists into several files.
  • Empty rows are skipped.

If your names have accents, save the file as "CSV UTF-8" so they come through correctly.

Errors

Zolensa checks every row before it saves anything. If any row has a problem, nothing is imported. You see a list of the rows to fix, such as "Row 7: This email address does not look right." Row 1 is the row with the column names.

Fix the rows in your file and upload it again. Common problems are:

  • a mobile number without its country code
  • a language code that is not one of the study's languages
  • a group name that does not exist on the study
  • a row with neither an email address nor a mobile number

Duplicates

  • If the same email address appears twice in the file, the second row is reported, for example "Row 9: anna@example.com is also on row 4."
  • If an email address is already in the study, that row is reported with the code it already has.

In both cases nothing is imported until you remove the duplicates.

After the import

Imported participants have the status Not invited. Nobody is contacted until you invite them. See Invitations and personal links.

The file cannot mark anyone as a test participant. To do that, click their code after the import and tick Test participant.

On a free trial, the import stops if the file would take you over the trial's participant limit.
